Start with destination needs

A packaging order divided between filling sites needs a clear allocation plan. Kaida’s company overview describes international and domestic business operations; for an individual buyer, the practical issue is which pack version and quantity each destination should receive. Shipping the correct total quantity does not ensure that each filler receives the material it can use.

Create a destination matrix

List each receiving site, packaging item code, artwork version, material configuration and quantity basis. Include site-specific winding or handling requirements where they exist. Name the receiving contact and the purchase-order line attached to the shipment. If two sites use similar-looking versions, give them visible distinctions in the order and shipping labels.

Reconcile before dispatch

Ask the supplier to compare packed quantities with the allocation matrix and identify any proposed partial shipment. Do not let a shortage at one destination be covered by a substitute version intended for another. Have the buyer’s planner approve changes to allocations, and communicate the revised matrix to receiving teams before the shipment arrives.

Close the receipt by site

Each site should reconcile its own labels and quantities, then report discrepancies against the specific shipment reference. Record material transferred between sites separately. A central record that simply marks the entire purchase order delivered can conceal one filler’s shortage and another filler’s surplus.

Retain the actual allocation

Keep the final dispatch and receipt matrix with the repeat-order brief sent to Kaida. Use the differences between plan and receipt to improve the next order. The result is a dependable handoff from purchasing to two real production locations, each with the packaging version approved for its operation.
