Packaging Supply Changes: Define the Notice Trigger
A repeat packaging order can change upstream before the buyer sees a different finished sample.
Ask for notice before substitution
A repeat packaging order can change upstream before the buyer sees a different finished sample. In the project brief sent to Kaida, identify the supplier changes that need notice and review. The aim is to keep approved materials, components and processes connected to purchasing, so an apparently equivalent substitution does not enter production without the right owner considering it.
List the controlled elements
Name the construction, closure, inks or finish, manufacturing route and artwork assets relevant to the product. Agree which proposed changes require a new sample, document review or buyer approval. Use clear categories and owners rather than a broad promise to notify significant changes. What is significant to a brand’s display team may differ from what matters to a filler or quality reviewer.
Request a useful change packet
Ask the supplier to describe the current version, proposed version, reason, affected orders and supporting evidence. State the decision deadline needed by the buyer without inventing a universal notice period. Identify any uncertainty about continuity of supply. A notice that arrives before implementation gives the teams more useful options than a label on a shipment that has already changed.
Keep approval separate from awareness
Record whether the buyer merely received the notice or approved a defined use. Mark open tests and who owns them. If a change is accepted for one SKU or market, preserve that scope in the order system. A reply acknowledging receipt should not become the only evidence that every product in a range may use the substitute.
Update the repeat-order reference
When review is complete, replace the relevant specification and sample versions and record the first affected lot. Share the final decision with Kaida and the filler. The next order then has a traceable construction instead of a product code whose underlying components have quietly drifted.
