Prevent an accidental issue

Packaging awaiting a quality decision should be recognizable before an operator loads it. A hold may concern damage, an artwork question or missing documentation. Use Kaida’s support contact to coordinate the investigation, while the buyer controls stock status inside its own operation. A note in an inbox is a weak barrier when physical bundles remain beside approved material.

Define the hold scope

Identify the affected supplier lot, quantity, locations and reason. Record whether the whole delivery is held or only a clearly separated portion. Label the physical stock and block its issue in the inventory process used by the site. Preserve the original lot identifiers so the hold does not break traceability back to the supplier record.

Control samples and movement

When material is removed for testing, record the quantity and purpose. Mark any stock returned from the line with its current status rather than putting it back into an approved location automatically. If space requires relocation, carry the hold identification and inventory entry with the stock. The test laboratory’s sample should not become the only remaining evidence of which units were affected.

Name the release authority

State who can release, rework, return or reject the stock and which evidence supports that decision. Communicate the result to warehouse and production teams in the same record. A supplier response may resolve one technical question, but the receiving organization still needs a clear internal disposition before issuing held material.

Close quantity and status together

After the decision, reconcile what was used, tested, returned or discarded. Keep the release date and any restrictions linked to the lot. The next order can then incorporate the agreed correction, while the factory floor sees a dependable distinction between available and unresolved packaging.
