## Label the status of each quantity

A packaging supplier may receive a launch forecast, an annual estimate and a firm order in the same conversation. For a Kaida project, mark the status of each quantity clearly. A planning estimate helps discussion, but the parties need an explicit agreement about which document authorizes production, materials or other commitments.

## Create a dated demand view

List the packaging item, artwork revision, expected requirement period and quantity basis. Separate firm purchase releases from tentative demand and identify the owner of each update. If a forecast includes alternative launch scenarios, show them as alternatives rather than adding them into one apparent requirement. Include the date the forecast was prepared so an old spreadsheet cannot be mistaken for the latest demand signal.

## Agree how changes become effective

Discuss forecast updates, order acknowledgments and any material commitments through the parties’ actual commercial agreement. Do not assume a standard cancellation window or that every estimate creates the same obligation. When demand changes, identify the affected purchase lines and request a clear response on their status. Keep unresolved commercial questions visible to the buyer’s purchasing owner instead of hiding them in a revised total.

## Reconcile before the next release

Compare actual consumption, available approved stock and open orders before issuing another purchase release. Account for artwork changes that make apparently available inventory unsuitable for the next launch. Send Kaida one controlled demand update with the firm lines clearly identified. This helps both teams plan around the same information while leaving the binding terms to the agreement that actually governs the order.
