## Define what the report must answer

An external laboratory quotation is useful when it names the test question and the output needed for a packaging decision. Kaida’s company materials describe internal testing capabilities; a buyer may still select an outside laboratory for a particular project. Agree the purpose before samples travel, so a completed report can actually support the approval being considered.

## Write a sample and method brief

Describe material construction, sample state, production lot and intended application. Ask the responsible technical team to identify the required method, conditions, specimen preparation and number of samples. Tell the laboratory whether the buyer needs individual results, photographs, a specific report format or a comparison against an agreed criterion. Avoid letting a short test name stand in for this scope.

## Clarify the quoted service

Review sample quantities, preparation work, included reporting and handling of a failed or unusable specimen. Identify which work is optional and which requires a fresh quotation. Have the laboratory confirm what it can perform before the buyer promises a decision date to the project team. Commercial scheduling should follow the agreed test scope.

## Control additional work

If the laboratory proposes another method or repeat, record the reason and authorization. Preserve the original sample identity and results. Ask whether the additional work answers the same question or opens a different investigation. This keeps a useful technical suggestion from becoming an undocumented change to the evidence required for release.

## Route the result to its owner

Send the completed report to the person responsible for the packaging decision, with the approved scope and sample record. Discuss relevant results with Kaida’s technical team. A report is most useful when its method, specimen and intended conclusion remain connected throughout the project.
